Nobody enjoys digging through documentation just to figure out how to request leave. In the meantime, HR spends a lot of time answering questions while documentation is available on internal platforms. Employees want quick answers 24/7 so they can ask questions whenever the thought pops up and HR teams want to avoid drowning in repetitive questions.
Xplore Group saw an opportunity to simplify HR support by meeting employees where they already are—on WhatsApp.
A familiar tool meets AI-powered efficiency
The idea started as a proof of concept: an AI-driven assistant trained on HR information from Sharepoint that is seamlessly integrated with WhatsApp. The goal was simple: give employees instant, accurate answers to their HR questions without requiring them to search multiple platforms.
WhatsApp was the perfect fit. Unlike dedicated HR portals or internal chat platforms, it’s a tool everyone already uses in their personal life which made adoption effortless. No more logging in on your work computer to check a closed-off portal, but a quick message right there from your sofa. With a simple request like “How do I request leave?”, employees immediately know what to do, turning what used to be a tedious search into a simple conversation.
From proof of concept to a fully operational solution, the Xplore Group Assistant is now available to employees in Belgium, offering a low-barrier, always-on way to access HR information.
Security and compliance by design
Integrating with WhatsApp presented unique challenges, particularly in protecting confidential HR information. The solution incorporates robust authentication to ensure only employees can access sensitive data. From the outset, the Assistant was built with strict GDPR compliance and European AI Act adherence, embedding necessary safeguards directly into its architecture. This security-first approach ensures that innovation doesn't come at the expense of data protection.
